Your privacy is important to The Pharmaceutical Managers’ Institute (The PMI) and maintaining your trust is paramount to us. We are fully committed to keeping your personal information safe. This privacy policy outlines our approach to compliance with the General Data Protection Regulation (GDPR) and all other relevant data protection legislation.
This privacy policy is intended to outline how we deal with the data which you provide to us while visiting our website ( and when registering to attend one of our events; the personal information we collect and how that information is used by the employees, the officers and the committee of The PMI.

We collect and use your personal information for a variety of reasons

To respond to a query –

When you contact The PMI, we need to know your name, email address and query so that we can respond in an appropriate manner. This information allows us to understand your query and respond in a meaningful manner. All queries are dealt with by someone from The PMI and no third-party is involved. We never pass on your details or use it for any other purpose other than to respond to your query.

To register for membership –

When you apply for PMI membership your information, as per our membership application form, is passed onto the PMI membership sub-committee to ensure your eligibility for membership. If your application is approved, your personal information as per provided, is uploaded to The PMI website. If your application is not approved, your online application form is deleted and if you have applied in paper form this too is destroyed.

As a PMI member, we will use your personal information to carry out our obligations including sending important notices such as communications relating to annual subs payments due, changes to our terms, conditions, and policies and to notify you about any changes to our services. We may notify you by phone, post, email, SMS text or through other digital media depending on the content of the notification and your preferred contact mechanism.

We will also use your personal information to send you welcome emails to help you get the most out of your membership, notices of new events and webinars and any offers that are available exclusively to our members.

If you cancel your membership with us, we no longer use your personal information.

To register for an event/webinar –

Registration for our events is voluntary. If you register for a PMI event, we will collect personal information from you. We will use your information to register you for the event, process your payment and provide you with information and services associated with the event, both before and after the event. We will make audio and/or video recordings of these events and/or take photographs of participants at these events and we may record information about you as a consequence.

To pay for an event/webinar –

We will collect your payment information to pay for the event ticket you have requested from us. Credit and debit card information is processed directly by PCI-compliant payment providers who perform payment services on our behalf. Occasionally, we receive payment information from members and non-members over the phone. When this occurs, the payment information is entered as instructed into the relevant payment system and all other copies are deleted or destroyed immediately.

To provide services during an event/webinar –

During the event or webinar, we may collect information that you have submitted in the form of a question, poll results and surveys. This information is only kept for the purposes of facilitating the event or webinar and is only kept in anonymous format once the webinar has finished for statistical purposes.

Website Information Collected

This refers to The PMI website and any associated web pages used to manage the registration and delivery of The PMI services. Any external links to other websites are clearly identifiable as such, and we are not responsible for the content or the privacy policies of these other sites.

Types of Information Collected by The PMI

Personal Data –

This is data that identifies you or can be used to identify or contact you and may include your name, the company you work for, postal address, email address and telephone number. Such information is only collected from you if you voluntarily submit it to us.

Non-Personal Data –

Like most websites, we gather statistical and other analytical information collected on an aggregate basis of all visitors to our site. This Non-Personal Data comprises information that cannot be used to identify or contact you, such as demographic information regarding, for example, browser types and other anonymous statistical data involving the use of our Site.

Purposes for which we hold your information

Cookies –

A Cookie is a very small text document, which often includes an anonymous unique identifier. When you visit a website, that site asks your computer for permission to store this file in a part of your hard drive specifically designated for Cookies.

The PMI and Data Processor

The PMI will engage certain service providers to perform certain services on its behalf which may involve the Processing of Personal Data, for example third parties that assist with distribution of The PMI newsletters and emails. To the extent that such Processing is undertaken based on the instructions of The PMI and gives rise to a Data Controller and Data Processor relationship, The PMI will ensure that such relationship is governed by a contract which includes the data protection provisions prescribed by Data Protection Law.

Security of information

We have technical and organisational measures in place to protect Personal Data from unlawful or unauthorised destruction, loss, change, disclosure, acquisition or access. Personal Data are held securely using a range of security measures including restricted access through approvals and passwords.

Non-disclosure to third parties

The PMI may provide aggregate statistics about its supporters, traffic patterns and related site information to reputable third-party vendors and relevant affiliate partners. In this situation these statistics will include no personally identifying information. We may also release account information where we believe in good faith that this release is reasonably necessary to comply with the law.

The accuracy of your information

While we endeavour to ensure that the information we hold about you is accurate and, where necessary, kept up to date, we shall assume that in the absence of evidence to the contrary, the information you provide us with is accurate. If you inform us, or we become aware, of any inaccuracies in the information it shall be promptly rectified by us. We do not retain any information about you which is out of date or which is no longer required.

Data Storage and Retention

We will retain your personal information as needed to fulfil the purposes for which it was collected. We will retain and use your personal information no longer than is necessary to comply with our business and legal obligations. 

Changes to the privacy policy

Any changes to this Privacy Policy will be posted on our website so you are always aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it.
